Privacy Policy

APLakeside Services Corporate Experiences ("APLakeside Services", "we", "us", "our") respects the privacy of everyone who visits our website or engages our services. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have in relation to it.
A note on legal scope. APLakeside Services operates as a sole trader with annual turnover below $3 million AUD. Under s 6D of the Privacy Act 1988 (Cth), businesses of this size are generally classified as "small business operators" and are exempt from the obligations imposed by the Privacy Act, unless a specific exception applies (for example, trading in personal information for a benefit, or providing services under contract to a Commonwealth agency that requires compliance). We have voluntarily adopted this Privacy Policy and the Australian Privacy Principles (APPs) set out in Schedule 1 of the Privacy Act as our standard of practice. We believe it is the right way to handle the information our clients and their teams entrust to us, and clients booking on behalf of Commonwealth agencies may require it as a matter of their own procurement obligations.

1. Definitions

Personal Informationinformation or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not.
Servicesthe team capability development activities, facilitation, and corporate experiences offered by APLakeside Services.
Websiteaplakeside.com.au and any successor domain operated by APLakeside Services.
Youany individual who visits the Website, makes an inquiry, books the Services, or participates in an Activity.

2. Personal Information We Collect

We collect only the personal information reasonably necessary to operate our business and deliver the Services. This includes:

  • Contact and booking information: name, email address, phone number, employer/agency name, and job title, where provided through an inquiry form, booking, or email correspondence.
  • Participant information: names of team members attending a booked Activity, and any accessibility, medical, or dietary information voluntarily disclosed for the safe delivery of the Activity.
  • Payment information: we do not collect or store credit card or bank account details. All payments are processed by Stripe, a third party payment processor, which collects this information directly under its own privacy policy.
  • Website usage information: standard log data such as IP address, browser type, device type, pages visited, and referring website, collected automatically through our hosting provider and any analytics tools in use.

3. How We Use Your Information

We use personal information only for the purposes for which it was collected, including to:

  • respond to inquiries and process bookings;
  • deliver, plan, and safely facilitate the Activity, including accommodating disclosed accessibility or medical needs;
  • issue invoices, service agreements, and APS acquittal documentation (Attendance Register, Facilitator Statement, Capability Development Record);
  • communicate with you about your booking, including before and after the Activity Date;
  • improve our Website and Services; and
  • comply with our legal obligations.

We do not use personal information for direct marketing without your consent, and you may opt out of any marketing communication at any time.

4. Disclosure to Third Parties

We do not sell, rent, or trade personal information. We disclose personal information only to the following categories of third party, and only as reasonably necessary to deliver the Services:

  • Payment processing: Stripe, for processing booking payments.
  • Third Party Operators: licensed boat hire operators and catering suppliers engaged to deliver components of the Activity, who receive only the information necessary to do so (e.g. participant numbers, dietary requirements).
  • Hosting and infrastructure providers: our website host, for the technical operation of the Website.
  • Legal and regulatory disclosure: where required by law, by a court order, or to protect the rights, safety, or property of APLakeside Services or others.

We do not disclose personal information to any party located outside Australia in the ordinary course of business.

5. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes set out in this Policy, or as required by law (including taxation record keeping obligations under s 262A of the Income Tax Assessment Act 1936 (Cth), which generally require records explaining transactions to be kept for five years). Where a document we provide (such as a Capability Development Record) contains personal information about your team members, that document is intended to be completed and retained by your agency. We do not retain completed copies once the Activity has concluded and invoicing is finalised.

6. Data Security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes restricting access to booking and participant records to William Bowker as sole operator, using reputable third party platforms (Stripe, our website host) that maintain their own industry standard security measures, and not storing payment card details at any point.

No method of electronic transmission or storage is completely secure. While we take care to protect your information, we cannot guarantee its absolute security.

7. Your Rights

Consistent with Australian Privacy Principles 12 and 13, you have the right to:

9. Cookies

Our Website may use cookies or similar technologies to support basic functionality and, where in use, anonymised analytics about how visitors use the site. You can disable cookies through your browser settings; this may affect some Website functionality.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. The version published on our Website at any given time is the current and operative version. Material changes will be reflected in the "Last updated" date above.
